Besides, millennials and Gen Z individuals, Gen X consumers are not behind to shop for groceries and meat online. Adapting to the digital lifestyle and processes that might have taken at least 5-10 years has accelerated with the onset of covid-19. According to a TradeDesk survey, with nearly 82 percent of Indians shopping online at least once a month and around one in four making online purchases at least several times a week, there are heightened expectations around delivery timelines.

With several businesses mushrooming with a focus on personalisation by micro segmenting, the retail space is becoming a fierce battleground making customers spoilt with myriad choices making customer loyalty a challenge. In this digital era, where customer preferences are changing swiftly, those players will stand clear winners who will be at the forefront of capturing behaviour changes for reshaping the consumer decision journeys. A paradigm shift has taken place in the way customers shopped during the pre-covid times and now. While aligning themselves with the new normal, retailers will face hurdles such as staff shortages, less inventory, irregular deliveries, hampering efficiency and sales. Therefore, retailers will now have to introspect, revisit the customer journeys and innovate to cater to the progressing customer journeys across the offline and online channel by investing in analytics, inventory, and workflow management to create seamless operations.

Stores are trying to balance the e-commerce and in-store inventory to ensure they have the right amount of inventory to fulfill customers’ preferences. At the same, managing returns from the various channels is a daunting task. This signals the retailer’s investment in predictive and prescriptive analytics to gather data from internal operations and supply chains to have inventory visibility and prepare better for surges in consumer demand, avoid empty shelves and bring in more agility.

Use of RFID technology: Technology that was once restricted to the warehouse is now being put to use in front of the store. Radiofrequency identification (RFID) technology is gaining popularity for providing solutions in apparel, sporting goods, and electronics retailers. It enables faster and less labour-intensive inventory management where several items can be tagged at the source. It helps facilitate quicker returns processing and inventory reshelving.

5G technology: Leveraging 5G in the retail industry can aid in rapid digital transformation by addressing problems such as connectivity and bandwidth issues in brick and mortar stores/warehouses. Smart stores that will leverage technologies like smart apps, video analytics, robotics, drone delivery, etc will require adequate network capability and bandwidth.

The retail space is filled with fierce competition and those with unique business models combined with high operational productivity will ace this. To emerge stronger and connect well with evolving consumer behaviour, the processes should be digitalised and well connected for which agility, personalisation, innovation, and viable business model will be crucial for any retailer.

The platform will act as a suite of consulting and technology solutions. The solutions offered by TCS Enterprise Navigator are built on an ERP background, comprising enterprise applications such as SAP S/4HANA, Oracle Cloud and others, also focussing on a critical factor i.e. user adoption. User adoption by Enterprise Navigator is addressed by empowering employees, suppliers, partners and customers with new capabilities such as automation, Artificial Intelligence and advanced analytics capabilities.

Businesses, in order to remain resilient to the impact of covid disruptions, will find it unavoidable to invest in cloud solutions. IT consulting firm, Gartner estimates that the spending on cloud management and SaaS in India will reach a value of $4.4 billion in 2021. The remote workforce model will continue to stay in the pandemic that will lead businesses to spend more on desktop-as-a-service (DaaS) and Infrastructure-as-a-service (IaaS) technologies.

How will this Digital Transformation be essential for Businesses in the Coming Times?

Indian businesses operating in the largest human health crisis must digest the fact that the pandemic-induced changes in strategies, new workforce models, management, operations and budget priorities will continue to reign. Therefore, it is anticipated that a surge of investments in digital tech, transformation and cloud adoption will be undertaken by the businesses. To survive and flourish in such testing times, businesses will transform three major areas:

New workforce models

Businesses will be operating either with a remote workforce or a hybrid workforce consisting of remote and in-office work. It will be imperative for businesses to invest in technologies for skill development, remote training, learning of employees and extending support for mental health and well-being.

Intelligent work processes

Pivoting to AI, automation and other exponential technologies to reduce friction in supply chain processes, cybersecurity, manufacturing, etc.

Improving operational scalability

Businesses, to bring flexibility and improve operational scalability, will prioritize more in hybrid cloud technologies and shift more business functions to the cloud. Therefore, business leaders and executives should think of adopting technologies and strategies that will make businesses agile and be future-ready in times of such uncertainty and pandemic-induced disruptions.

Most often this is seen when a business gets raw materials from these sources to create a finished product to sell to the customer.

Why Is An Effective Procurement Process Important?

It is a crucial part of a business’s operations for a few important reasons. Procurement is known for being a cost-effective way for a company to purchase and acquire certain goods or services from external vendors. This lends itself to higher profit margins for one. The second reason is that it helps the business find the right vendors and sources for procuring things, this ensures the company can keep a close eye on the quality and nature of the source giving the finished product/service more quality control.

Apart from saving cost and giving the business better control over the quality, it also helps the brand establish business relations and build a vast network with these vendors and suppliers. This means that it keeps the company in the loop when it comes to the goings-on in the market. The first to know of any changes in the trends, prices, and customer preferences are the suppliers and vendors. Having this knowledge and building a good working relationship with them helps keep the entire process moving as efficiently and as productively as possible.

Supply chain management is the movement or flow of goods or services throughout the organisation. This includes the procurement of the raw materials or primary services from vendors, the storage and/or refinement stage, shipping to consumers and so on. In essence, it is the active streamlining of the business’s supply and distribution side to maximize the value brought to the customer.

‘Logistics’ is the smallest link on this massive chain, but still important. It refers to the actual moving of products or services from the point of origin to the point of consumption by the customer. So, for example, if a business sells eggs, it needs to get the eggs from the farm to the customer. To do that it will need trucks, crates and drivers to get those eggs from point A-to-B. These physical assets are what is known as logistics and they come under the process of procurement, as one part of the overall procurement process.

The 7 Stages Of Procurement

Stage 1: Identifying the goods/services

From the outset, a business needs to be aware of what is needed to function smoothly. That is why, before initiating the procurement process, the company needs to identify two things the internal and external goods or services needed. The internal is everything that the company will need to run the business. The external refers to the things that will be sold to the consumer. Identifying these things also helps identify the budget for the operations.

Stage 2: Finding the right supplier

A good brand needs good sources to bring them high-quality materials. This stage is all about finding those sources. While sourcing potential vendors may seem straightforward, there are a few key things to look out for. During the evaluation, check and compare different pricing for services, the quality of service, the vendor’s reputation as a source as well as the warranties and guarantees that are provided by the vendor.

Stage 3: Negotiate contracts and prices with the selected suppliers

This is exactly what it sounds like negotiating with the vendors until all parties can settle on a fixed price for services and signing a contract for the same. The contract plays an important role as it sets the tone for the delivery time, the job description, the number of materials needed and so on. Another important factor in this, is that it also takes care of the ‘enablement of logistics’ for the entire process. That is to say, if you were to organise and procure logistics for the movement of goods and services from start to finish, this is the stage in which you should take care of that.

Step 4: Raise a purchase order with vendors

This is the part of the process where the actual purchasing of goods and services happens. Once the purchase order is looked-over and finalised by the finance department, it is sent to the vendors. In the special case that there were no contracts signed at the beginning, these purchase orders are considered as legally binding documents.

Stage 5: Receive invoice and process the pay

After the supplier gets the purchase order from the company, an invoice with the price for that particular goods/service is sent back. The procurement team then has to match the invoice to the purchase order and see if everything adds up in terms of quality and quantity. The payment is then given to the supplier.

Stage 6: Receive and audit

Once all the paperwork is finalised, the vendors will then deliver the materials to the business. Then it falls to the business to perform a full audit of the inventory to make sure that everything that was ordered has been delivered. This is also when you would check for quality-control before moving forward.

Stage 7: Maintain a proper record

At the end of the procurement process, it is very important to thoroughly organise and keep track of all your purchases, invoices and orders placed with vendors, so that you have an easy reference system for future audits.

Some Key Tips For More Efficiency

Keep re-negotiating contracts

Even after having signed the contracts with vendors, try to keep negotiations open, because the best way to make the most of it is to keep with the current market trends. Market trends can be wildly unpredictable at times and are constantly changing, so are the demands of consumers. It is your job as the provider of the product or service to ensure that those needs are being met. To stay current with these changing trends and changing needs re-negotiations are a must.

Do regular assessments

While it is good to build a strong working relationship with vendors, the business’s needs must always come first. That said, you need to do regular assessments of your current vendors and suppliers to see if they are meeting the standard you expect in terms of delivery schedules and quality of materials. It also helps to take that data and make a comparison with other vendors’ performances to see which is doing better. If your current vendor fails to meet the requirements you either have to reassess the contract or change sources.

Automate as much as possible

In the age of digitalisation, your business would greatly benefit from making use of the things it has to offer. Automating the majority of your procurement processes from invoicing, supplier enquiries, reviews, updates, and delivery schedules will greatly improve the overall performance of the process. Much of this can be achieved by using a procurement software.

A procurement software is simply a management platform that allows the organisation complete visibility into all the stages, tasks and activities needed to maintain a smooth workflow. It can also help do regular assessments and update you on the same.

Though all this might seem like a massive process, it is just one small part of a larger system of moving products and services through the body of business. Once you understand the bigger picture things become clearer. Introducing protocols, schedules, and a smoother workflow, allow for fast and easy solutions and keep the business moving.

Helps expand the business

As a business grows, so do the needs and grievances of the customers. A rapidly expanding business will need to address these issues to grow parallelly with their customers so that they do not lose the brand value in the process. Customer service helps identify those needs and adapt your expansion strategy as you go.

Higher productivity

With the presence of a customer service team, it takes the pressure of the rest of the business and lets it focus on the numbers and data crunching, while the customer support team handles the customers. This divide and conquer approach provides much more productivity. Good service also helps boost performance, as a business that readily addresses the concerns of its customers, stays well ahead of the competition thanks to perceived brand value.

Humanises the brand

When you value people and show them that you are listening to their needs and trying your best to give them what they want, people will respect the brand more for it and relate more as well.

How To Build A Great Customer Service Strategy

Step 1: Establish a purpose for the team

Before you get to work on building your customer service team, you need to consider what its main function will be. Not all customer service departments work to address the same set of issues, every industry and every business is different. For example, if you have a WIFI service, the customer care would centre around connectivity and technical issues the customer might have.

Establish the purpose and function of the customer care strategy so you can have a streamlined approach to the problem-solving process, be it sales issues, financial concerns or technical aid.

Step 2: Choose a channel of communication

Next, you want to choose the method in which the business can communicate with the customer and vice-versa. This could take one or multiple forms – establish whether you want to go the more traditional route and do surveys and questionnaires like the ones they hand out in the grocery store or something a little more modern. A recommendable strategy would be to opt for a combination of an active social media presence and online surveys that can be targeted at a specific demographic.

Be careful to not overload your customer service team with too many channels, which will spread their efforts thin and leave you short-handed.

Step 3: Hire the right people

You need to hire the right people for the job, but what kind of people? Look for individuals who are uniquely motivated with the following interpersonal skills that would make them an ideal candidate for the job:

The Ability to communicate clearly.

Good knowledge of the industry.

Problem-solving skills.

Empathy and patience when dealing with frustrated customers.

Able to switch between different roles as no two problems are the same.

Beyond hiring the right person, you also need to make sure that you give them ample training and ensure upskilling before pushing them into the fray.

Step 4: Make a good first impression

Word-of-mouth carries a lot of weight in business and the word of the customer is the one-above-all. Make a good first impression; show them you care and that you understand. Make the customer feel special and customise the interaction for them. Even if there is a huge problem that they are facing, the fact that your team has taken the time and effort to patiently walk them through the process will go a long way.

This is where you need to watch out for poor interpersonal skills from your team, they need to maintain a cool head at all times – training becomes of the utmost importance here.

Step 5: Manage expectations and stepping into their shoes

Every customer reacts differently to an issue or a concern, it is the support team’s job to try and get into their mindset to see where they are coming from. Most often, when you get a frustrated and angry customer is due to their expectations not being met. You need to avoid promising the customers more than you could deliver.

A better strategy would be to tell them exactly what they can expect going forward and then follow up by exceeding those expectations. It is far more preferable than trying to do damage control later down the line and losing faith in the eyes of the public.

Step 6: Collect all the data

The best kind of customer service happens when the support team has the necessary information on the customers. When they interact with the customer, it is a great time to dive into some data collection. The data collection will help you do two things:

Improve your business’s performance.

Allow for a more customised experience down the line.

Look outside your industry to see what other practices on data-collection methods can be adapted to suit your business, while still staying true to your industry-specific requirements.

Step 7: Be active where your customers are

Customers today have become more proactive than ever before; they are active on multiple social media channels and online platforms that give them direct access to you and vice-versa. It is all about finding the right channel to increase the reach of your business by providing effective solutions to your customers.

For that to happen, you need to take your business and support team to where they are. Do your homework and find out where your business-specific customers are most active. For example, a restaurant may find more ease talking to customers on apps like Zomato or Instagram; a tech start-up might address them on their website via a chatbot and so on.

Whichever channel you choose, be it phone calls, text, social media or online forums, choose the one that best suits the brand’s style and where customers are most likely to interact with you. Keep in mind, this entire process should be customer-centric with the focus on delivering value, so the channel that allows you to do that best is the one to go with.

Step 8: Technology is not everything

Automating the process of handling customer complaints like automated surveys or automated email marketing can work wonders for handling a large number of customer grievances, but just that is not enough. While technology is great, it has set-back. If you become too reliant on it the human side of the process suffers.

Make sure to use both technology and a strong operational plan in unison to maximise the efficiency of your customer care services and in turn strengthening your ‘customer loyalty’. At the end of the day, this is all that matters – making sure that your business does its best to meet the needs of the customer while building strong and lasting relationships.

The ‘Value Chain’ seems like a very complicated term, but it is quite simple. Porter’s Value Chain is a business tool and model that was devised by American economist Michael Porter, in his book Competitive Advantage (1985).

It is essentially a model that companies use to measure the competitive advantage that they have in the market. This competitive advantage is measured by looking at what kind of value the company brings to the table. The higher the value a company can bring, the more competitive advantage it has over other businesses. The results will be higher profits, which translate into growth for the company.

It is very customer-centric in that way and keeps the focus on what really helps a company grow – the customer.

Additionally, it also helps make it clear which areas in the company are lacking efficient performance standards and consequently lacking value in those departments. This allows you to catch it early on and nip it in the bud. Simultaneously it also helps you identify which areas in the company’s performance could be improved to maximise the added value of the product.

The activities that help determine all this are divided into two categories, ‘Primary Activities’ and ‘Secondary Activities’.

The primary activities are directly involved in the production and selling of the product. On the downside, the model was crafted based on companies in the 1980s, making it a little outdated to work with and rigid in terms of application.

Porter’s Value Chain is a very linear structure and doesn’t really allow a company to make sudden changes should the need arise. This takes a toll on the creative freedoms and capabilities for change within the company. A business, in this day and age, needs to maintain flexibility and innovation for today’s customers. While the model does not necessarily give much room for innovation, it does have its strengths in terms of helping the business turn a profit and stay ahead of the curve.

A business is nothing but an idea unless you give it a concrete shape by turning raw materials into finished products which will bring value to customers. But to do that, you must acquire and move the raw materials needed to your office, workshop or factory floor. Similarly, all finished products must be sent out for sales and distribution. The way you move the material and the information needed for your business and the way finished goods are moved to reach end users are known as logistics.

In brief, logistics is the movement of goods, services, data and other tangible and intangible assets across the entire chain of supply of a business. It involves all processes and stages to get goods/services/deliverables moving, from sourcing to production to sales. In ‘The Handbook of Technology Management’, author Hossein Bidgoli, a professor of Management Information Systems at the California State University, has nicely summed it up as the 7 R’s of logistics – the right item in the right quantity at the right time at the right place for the right price in the right condition to the right customer.

It may sound like a straightforward definition, but things tend to get a bit more complex than that. So, it is best to keep the 7 R’s as a set of rough guidelines when you set up your logistics network. Remember, it is not just about getting products or services from point A to point B. It is about making sure that it is transported efficiently enough that it reduces both time and costs involved. The core concept is minimal wastage and maximum operational efficiency.

Logistics Is Not Distribution

Logistics is the area of the supply chain that is concerned with the physical flow of products and goods, as well as non-physical elements such as planning, implementation, organising, mapping and upscaling where needed.

It will vary from organisation to organisation but the general premise remains the same for any logistics activities. The non-physical flow is pretty self-explanatory. The physical elements however are a little more intricate. Let us take a look at the different types of logistics:

Procurement: This encompasses all the logistics needed for procuring goods and raw materials for manufacturing from the external suppliers and vendors. It falls under upstream logistics which is just a broad term that means, the process is located at the start of the production cycle. It is basically sourcing. This area did not receive much attention in the past, but nowadays it is key for sourcing cost reduction by companies. What that means is, just keep an eye on how much you order and get the most cost-effective way to transport it. It will keep the cost of production relatively low throughout the production process.

Production: In this phase, acquired materials move within the various production units of a business and stay within its boundaries. It includes how items are manufactured, packaged, distributed and moved to factories where they are refined, shipped and then stored in warehouses. This comes under the internal stage of the logistics network.

Distribution and sales: Historically, logistics at this point referred to the transportation of goods and services from warehouses or storage, but that has changed. Now it refers to all the equipment and transportation needed to deliver these goods and services to the end-user from warehouses and production units of the company. This comes under the downstream stage of the logistics chain. The logistics of distribution and sales, is not to be confused with the distribution process. Logistics encompasses many different aspects of the movement of goods and services across the business, whereas the distribution process’s primary concern is with activities related to the sales of those goods and services to customers. In this context, distribution is a sales and delivery network that focuses on giving the end-user what they want, and logistics focuses on the ways in which the business can physically make that happen.

Recovery: This process refers to the movement of products that have been returned or recalled, back to the company through logistics channels. Hence the name, ‘recovery’ as the company is recovering the items. It is also known as reverse logistics as the items are moved in the opposite direction of the normal product flow. Recovery logistics can be segregated into five main activities:

This includes recycling waste by-products

Handling and overseeing customer returns

To refurbish and repair

Providing full-scale reverse logistics for recalls of faulty products. A good example of a recall is when Samsung had to recall all of its Note 7 units because of dangerous and faulty batteries.

All recovery logistics come as a cost to the company, especially if it is large-scale recalls like that of Samsung. Therefore, you need to budget for recovery logistics before setting up the network.

Key Tips For Better Logistics Management

Planning is everything: Once the process gets going, it should not be interrupted because that could severely disrupt productivity and efficiency. The solution to this is to plan well in advance. A good way to go about planning is to turn the entire process into a flow chart and take a look at the budget for each of the stages before diving in.

Create a contingency backup: It is impossible to be ready for anything and everything, but a good contingency plan takes care of the most obvious things which could go wrong. The rule of thumb is to closely monitor the logistics chain at every stage and be ready to switch to plan B if the primary one fails.

Identify a specialist (logistics manager): Hire someone with great interpersonal skills to ensure effective communication across people and processes so that inter- and intra-company communication can happen. He/she should also have relevant contacts in case certain services are needed at a pinch.

Plug the loopholes: Just like all other business processes, your logistics infrastructure will be prone to mistakes and failures. In fact, it will be a case of trial and error. You will have to plug the loopholes as they come, refine the procedures and tweak the strategy accordingly to keep things going. Hold regular meetings, review and discuss the problems and get detailed feedback from everyone involved. The aim is to improve operational productivity and ensure that both employees and customers are satisfied. Keep in mind that both logistics and supply chain are intertwined, and as supply chain changes with the market, so will your logistics requirements.

That is to say, if your supply chain has to address a hike in demand for any product or service that you are providing, then there has to be an equally robust logistics network to help get the goods/services to the end-user.

Automate: As logistics involves so many different elements of the chain of supply, it needs to be closely monitored and well-managed. This is where logistic management software comes in. It is an integral cog in the giant machine that is logistics. It helps automate much of the coordination and management efforts by giving the business an easy way to curate, track and map out deadlines, deliveries and inventory.

At the end of the day, the goal is to have a flexible yet sturdy logistics strategy in place, so that your business can grow and succeed. This is exactly what happens if you do not have full control over your inventory or stock of finished products. You will lose customers to your competition and your profits will dip and you fail to supply what your customers want.

What Is Inventory Management?

A crucial part of the supply chain, inventory management is more complex than stocking your warehouse or feeding your procurement needs. Inventory refers to all physical items which flow in and out of a company. This includes the raw materials for production as well as the finished products for sales. Inventory management uses various methods and management techniques to handle the process of ordering, storing and using a company’s inventory.

Now, one may think that inventory management only concerns the raw materials that come into the flow of production, but it happens at all stages of a company’s line of production and supply chain. This includes raw materials, semi-finished goods, and even the finished products that are waiting somewhere in a company warehouse, waiting to be shipped off to the market.

Inventory management can be framed as having the right amount of goods or items necessary for a business to run successfully at any given time. On the one hand, there should be no shortages of inventory, but there the company should also avoid having so much in storage that it all goes to waste. Inventory management helps keep the balance.

How Does It Work And Why Is It Important?

Inventory management’s role in all this is to make sure that the company never runs out of these things. To make sure that does not happen, you need to track the market’s level of demand for your particular product or service. This gives you an idea of how often customers purchase your product/services and shows you how the pace at which inventory is should be ordered.

All this tracking and managing can be taken care of in two broad ways – manually or through software. With software the tracking is automated with minimal involvement of people. The manual method on the other hand, is almost entirely done by people.

Whatever path you choose for your company, it is apparent that inventory is key for any business to operate. Without it, even the supply chain, becomes just an empty system without anything to transfer, move or co-ordinate. Maintaining the right balance is crucial for any business, big or small. This is especially true for the likes of inventory-heavy industries such as the food business.

For instance, restaurants, need to make sure that they maintain a perfect balance at all times, while still maintaining quality (good food needs good ingredients). They have to have enough food that they do not run out on a busy night, but not so much that if business suddenly stops, (say, a sudden lockdown due to the pandemic) they are left sitting there with tons of food rotting in a storage unit.

Business foresight and ability to read the pulse on the market become vital. You do not want to suddenly find that there is a shortage – have the right amount of inventory, in the right place, at the right time. This is why inventory management is important, it lets you know when there is no more food in the kitchen.

Which Inventory Method Works For You (Types Of Inventory)

ABC analysis

A technique that helps a company classify and manage its inventory based on the demand of the stock and the cost of holding or transporting it. The analysis tells us how fast the goods should be moved and how fast it needs to be reordered based on the demand. There are three different categories for this technique:

A level goods: The most popular and in-demand goods which will fly off the shelves and need to be restocked fast. These are not too expensive to store as these would be sold fast.

B level goods: Not so much in demand as the A-level goods but still enjoy a decent amount of demand. These are moderately expensive to store as they have to be stored for a longer period.

C level goods: Next come the laggards. C-level goods have the least demand, take up the maximum of storage space and, therefore, cost the most.

Just-in-time inventory

An extreme version of the EOQ system, it orders inventory when it is needed at the exact amount. It is a system that does not store much in reserve. Items are ordered only at the last minute.

Safety stock inventory (buffer)

Essentially keeping a backup stock for emergencies like a dip in the market, loss of revenue, loss of customers and so on. It will not work for perishable items like food though.

First in, first out (FIFO)

The oldest inventory in storage is sent out first for sales.

Last in, first out (LIFO)

The newest inventory is sent out first. Both help calculate the profitability of the inventory. You just have to pick one based on the demand in the market.

It is, indeed, a risky method but has a high-reward capacity if done right. The key here is to hire an inventory manager who understands the market and has a proven track record to get the job done.

A quick example of these fundamental techniques applied successfully is Walmart, a brand that most of us are familiar with. The retail giant has over $32 billion in inventory across 70 different countries. To move this massive amount, the company relies on two things. It uses automation software to move the inventory up and down the supply chain, and it does not store the stock for a long period. To put it simply, everything is sold and shipped quickly to make the flow faster and streamlined for maximum efficiency. The tracking software also helps reduce human error and keeps a tab on the numbers.

The Way Forward

Economic Order Quantity (EOQ)

This is the core of inventory management – order the minimum amount that you think your business needs to keep up with even the highest customer demands on any given day. The aim of this is to lower the cost of buying, storing and moving inventory as much as possible while staying competitive.

Minimum order quantity (MOQ)

On the other end of the spectrum, we have the minimum order technique. It is when a supplier is only willing to sell you a fixed minimum amount. This is the lowest quantity they can sell you while still making a profit if they sell lower than this, the supplier loses money. The purpose of this is so that suppliers can move inventory fast and skip over the businesses that want to bargain the price, which ultimately slows down the process.

The Materials Requirement Planning (MRP)

An inventory management method that is entirely dependent on the planning and forecasting abilities of inventory managers. They should be able to predict when a spike in demand is likely and place orders accordingly. If they overshoot or underestimate the prediction, it may result in severe losses for the company.

All of this can be achieved much more easily with the help of automation software. It is well worth the time and capital. It takes care of everything from tracking, budgeting, helps with planning for more inventory and also gives you an idea of how your sales are going to perform based on demand rates.

Trial runs help

Start with choosing the technique that best works for the specific type of industry that you want to be in and then, takes it for a spin. Conduct a practice run and ship some inventory around the system to make sure that everything works and flows nicely. Next, make use of reports, lots of reports. They help you keep a track of what went where and gives you a clear picture of how well your system performed in the past.

This is also why a trial run is needed moving forward as you do not want to do this when business is in full swing. You want to cover all your bases, that is to say, hire some extra staff. They do not have to be full-time; you can hire them part-time and keep them in reserve if demand ever goes through the roof and you suddenly need those extra hands. Speaking of covering all your bases, check out all your inventory – see how much you have to sell, how much you need to store, how much can be stored and for how long. That will give you a budget that you need to work within for the inventory system to work.

So, What Is Distribution?

Now that you have procured raw materials and developed the goods/services, it is time to go to market and sell them – either directly via the Web, your sales force or retail outlets or indirectly through wholesalers, distributors and the likes. Think of it as business networks through which your products or services will reach all end users. In business jargon, these networks are called distribution channels.

A typical business will use both direct and indirect channels for quicker market access and rise in sales. Take, for instance, any famous cosmetics brand. One can buy its products online, at the company’s retail centres or at the local shop/supermarket. Understandably, the latter gets the stock through indirect distribution, mostly through wholesalers, distributors, dealers and other middle agencies.

Now, let us take a look at the distributors. They are the middle agencies which buy products from manufacturers and sell them to the wholesalers that buy and sell the products to retail stores in bulk. Sometimes the distributor will bypass the whole seller and opt for multiple dealers instead, who specialise in a niche market and deal with very specific products. For a distributor to do their job effectively they need to build and maintain relationships with the manufacturers and stay up-to-date on all the goings-on in the market.

Distributors also manage orders, oversee returns and even sell products on behalf of the brand at times. A good distributor has a thorough understanding of the market and uses that to prompt bigger sales.

Types Of Distribution

Direct

The product is directly delivered to customers or other businesses with no middle agencies involved. A good example of a direct channel is Sony it takes orders from customers directly through their website and has their company deliver it to the customer without an intermediary. These channels can be very effective in the long run. The company will have to spend more on storage and transport for the goods. The direct method is used mostly by businesses dealing in perishable goods, like farmers’ markets.

Indirect

This involves several middle agencies between the supplier and the final point of sales. This includes distributors, wholesalers, dealers, retailers, franchises and VARs (value-added resellers). Since there are so many channels to pass through and all of them have to be paid, the process sometimes ends up driving up the end-price for the customer by inflating the market price. The upside is that it won’t cost nearly as much as direct distribution channels, which means cost saved for the company.

Intensive

The goal here is to gain as much visibility in the market as possible, as fast as possible. This includes everyday consumer products like soaps, toothpaste, bread etc. The things that have a mass-sales capacity and move fast. The more places and the more often your customers see your product, the more likely they are to buy it. Brand awareness is the name of the game. There is a risk to playing it hard and fast: If you end up sending your product to a location where the competition enjoys better customer loyalty, you will run into a loss. Using this kind of distribution channel needs a watchful eye over the current market trends.

Selective

This is when the manufacturer sends the products to a select number of stores in specific locations, giving their brand a more premium feel. The manufacturer can control the price for a certain area and give those customers a personalised shopping experience. This method allows the brand a certain amount of edge over the competition since they can target specific areas where the competition may not have the best customer following. This method allows you the opportunity to target these weak spots in the market and use them to your advantage.

The Whirlpool company is a good example of this as they sell their appliances through dealer networks in specific areas where they can expect a better sales rate. These often include middle-to-high-income residential areas or office campuses where demand for air conditioners and other white goods will be high.

Exclusive

Manufacturers sell these items to a select number of middle-agencies. You get a better profit margin from luxury items. For example, Rolex, iPhones and supercars. With that being the case, there is no real need for intensive mass productions and sales like that of everyday items because the higher price tag makes up for it.

How To Build Distribution Network

Find the market

Before you start forming any sort of distribution plan, you need to consider the market. Look at what your product is, and which demographic, in which area would find the most use for your product. Once you identify the need in the market and you know for sure that your product can meet those demands, only then do you move ahead.

Know your competition

Find out everything you can about the rival brands – look at what distribution strategy they use and how successful they are with those methods. This gives you a rough idea of how you could expect your product to perform once it hits the market. Let the enemy do the work for you.

Choose the best channel

Now comes the time to start laying the groundwork. You need to see which type of distribution channel would best suit your product and help it perform well in the market. If it is a top-of-the-line diamond-studded watch, you should choose an exclusive distribution channel that includes a select number of stores and customers. If it is ice cream soda, you may choose the intensive method to outshine your competition.

Whatever you choose, you not only need to make sure that it complements the type of product you are selling, but you also need to see if it falls within the budget. If not, you need to account for that and make the necessary adjustments, because what matters most is making sure that the product flies off the shelves at the end of the day.

Set up the chain

Now it is time to approach channel partners, but before you do, ask yourself: What is the logistics? You need to have a clear idea of how orders and return will be handled, if there will be storage needs, how the inventory will be accounted for and so on. Once you have the answer to these questions, you are ready to go.

Pricing and Revenue

You must support your channel partners and pay them for their services. Treat them as a business partner and as a customer. After all, they also have a business to run, so promote their businesses as well. Provide them with training and advertisement where you can to increase their internal efficiency.

No matter what you choose as your ideal strategy, make sure to keep tabs on the chain of distribution. Do a regular performance analysis. See if the customers are happy and if everything is performing as well as it should be.

Check out our article on ‘business automation’ to see how you can step up your business’s operations.

This is achieved through effective planning and coordination across different sections of the business both external and internal. The core components that make up a basic supply chain are supply, operations, logistics and integration.

Supply

It is the beginning of the chain where a company gets its supply of raw materials to begin the manufacturing process. But supply does not stop at procuring goods and it also includes both upstream and downstream supply.

Operations

This component refers to people, process and equipment required for production and manufacturing. The chain consists of a lot of moving parts so, maximising the scope of operations helps move things along smoothly.

Logistics

Do not confuse supply chain with logistics. Even though the two seem similar, they could not be more different. The supply chain is the flow of products and services throughout the business (both upstream and downstream) and the linking of major business processes into a single high-performance business model. Logistics is the ‘muscle’ that helps these products and services get from point A to point B.

Integration

it is basically how well a supply chain is integrated with the business, that is to say, how smoothly the data flows between different departments of the business. Businesses nowadays, use specialised supply chain management software to give them more control and monitoring power over the whole process. Moreover, digital-era integrations provide more effective oversight of various moving parts and help the management take quick action where needed.

How Supply Chain Evolved

Supply chain management (SCM) had started in the colonial era, long before the term was coined in 1982. The New World was being discovered and shipping routes were being established. The need for a supply chain was ever-growing and so, a primitive form of such a chain was developed. The massive shipping routes and delivery systems were broken up into segments where more and more traders and suppliers came into play.

With the advent of the Industrial Revolution, the need for more efficiently mass-produced goods became necessary. This led to the development of the supply chain management to keep up with the sudden spike in demand. By the time Henry Ford had introduced his revolutionary car assembly line for maximum efficiency in 1913, the supply chain had nearly been perfected.

Later in the century, businesses were struggling to keep up with demand. As a solution to reduce cost while still meeting demand, businesses started to vertically integrate the chain of supply into their operations. They absorbed the supply chain from the top-down, so that they owned and controlled the sources, suppliers, manufacturing and so on. For example, newspaper publications that absorbed all aspects of the business from the supply of raw materials to the distribution of the final edition in order to have a better control of the chain of supply and the final price of the product.

The arrival of globalisation in the 1980s made integration and cross-communication that much easier with the aid of the internet. This grew into what we know today as ‘SCM 2.0’, where even the most complex of supply chains can be managed by companies both big and small, thanks to things like social media, digital democratisation and other collaborative platforms.

Seven Golden Principles

There are no hard and fast rules when it comes to managing a supply chain. Every business will need to find its feet and unique methodology, based on the type of service or product it provides. There are, however, seven principles to keep in mind if you want to play a long game.

Principle 1

Identify the different kinds of customers that you want to target and look at what they need. Adapt the supply chain according to those needs.

Principle 2

Develop and customise a logistics network for each of those customer segments so that their specific needs are met.

Principle 3

Check the pulse of the market and current demand trends. Identify the pattern and align your planning with the supply chain accordingly. The better your demand forecast is, the less likely the plan is to fail.

Principle 4

The further a product moves down the supply chain and the closer it gets to end users, the more the regulations change. For instance, if a product crosses an international boundary, it would have to meet certain regulatory compliances in the country of arrival. So, you need to differentiate how the delivery regulations would change the closer they get to a particular segment and adapt accordingly.

Principle 5

Manage your outsourcing carefully. Avoid owning too many components of the supply chain in-house. It is better if you keep just the core components, that is to say, what you absolutely need to have, and outsource everything else. Lessen the load on your internal teams as much as possible.

Principle 6

Opt for tech support that specialises in curating, managing and monitoring various points in the supply chain. It helps your business have a more transparent view of the processes. This will allow you to quickly identify the needs and improve the lacking areas.

Principle 7

Find ways to measure the performance of the supply chain. Establish a method that allows you to do regular checks. This will also help measure the customers’ responses to your efforts to meet demand.

Five Best Practices

Increase supply chain visibility

Allow your suppliers and distributors a transparent view of your business’s inventory needs so that they can easily identify where you are lacking, giving them ample time to prepare for future demands. Such real-time transparency allows not only better forecasting but a degree of autonomy for the supplier, which means less stress on the management.

Go for automation

It can be a boon or severely crippling if used in wrong places. Keep it as a rule of thumb to automate only where necessary. Machine-aided operations can greatly increase efficiency but if you fully rely on that, and something does go wrong the entire chain is affected.

For example, let us say you have a supply chain that is entirely dependent on the automation software, and suddenly the software malfunctions. You will be left sitting in the dark or at the very least struggling to keep business going smoothly till the software is up and running again.

IT check-ins

Have a regular check-up run by your IT department to make sure that everything is updated and running smoothly and that there are no technical glitches in the automation system. The IT team has an overall perspective of the goings-on in the business and this puts them in the unique position to sniff out problems.

Offer in-house training

Give your internal staff better training so that even if something goes awry, you will have covered all your bases internally. Brings down the chances of liability on your side of the fence.

Set up a project plan

You should implement a central framework to map risks and opportunities, elaborates the distribution, procurement and logistics, and facilitates cross-functional communication. This will act like a pivot based on which you can set new goals, milestones or even develop new strategies. Think of it as an anchor as you venture out into stormy weather.

To maximise the efficiency of your supply chain management, check out our article on ‘The 5 Ms of Management’ and understand the core elements crucial for every business.
